This is not only a comprehensive inspection of our existing management system, but also an important opportunity to demonstrate the strength of our team and promote self-improvement. From November 27 to 29, 2024, the expert audit team of Fangyuan Mark Certification Group Shandong Co., Ltd. came to the company for a three-day audit of the three systems of quality, environment and occupational health and safety. The quality management system is the first annual supervision audit, and the environment and occupational health and safety management system is the first certification audit. This three-system audit is to audit the company's market development, product development, process and process control, process quality control, procurement management, production and manufacturing and facility equipment management, product warehousing/logistics/delivery, environment and occupational health and safety and other related businesses.
First meeting
According to the audit plan, the first meeting of the three-system certification audit was held in the conference room on the third floor of the office building on the morning of November 27, 2024. Mr. Guo, the team leader of Fangyuan Certification Center, introduced the basic requirements and plan arrangements for this supervision and audit work, and expressed that the audit will be conducted in accordance with the principles of seeking truth from facts, objectivity and fairness. General Manager Bo, management representatives and Deputy General Manager Zhang warmly welcomed the four experts from Fangyuan Certification Center and asked all departments to fully cooperate with the three-day audit to ensure the smooth progress of the audit.
For this three-system audit, General Manager Bo put forward three requirements: First, arrange the work reasonably and do a solid job in this supervision and audit work. All departments and units should attach great importance to it, strictly follow the audit plan, make preparations for audit materials, audit docking, etc., and efficiently promote all supervision and audit work; second, seize the opportunity to effectively improve the company's system construction work. All units should listen carefully to the guidance and suggestions of experts and teachers, adhere to the management idea of "continuous improvement and pursuit of excellence", further improve their own "system" management knowledge and ability level, and promote the in-depth development of the company's "system construction" work; third, find gaps and focus on the rectification and implementation of relevant problems. All units should adhere to the working idea of "making up for shortcomings, plugging loopholes, and strengthening weaknesses", focus on problem analysis, and formulate rectification measures in a timely manner to further improve the company's comprehensive management level on the basis of ensuring the effective operation of the "system".
The external audit lasted for three days, and each department of the company conducted an audit one by one according to the plan. During the audit, the external audit experts conducted random inspections of various departments of the company based on the three-system construction certification standards and relevant laws and regulations, combined with the company's management manual and procedure documents, and conducted an audit through audit sampling, interviews, evidence collection, etc., focusing on checking the evidence and record traces left during the operation of the system, and proposed rectification opinions on the problems found in the audit, and proposed further improvement measures for management details.
Final meeting
At the final meeting on the afternoon of November 29, Mr. Guo, the leader of the audit team, gave a brief report on the audit. The experts of the audit group fully affirmed the company's system operation. The expert group believed that the company's development had overcome various difficulties and achieved great achievements. The company's entire management strategy and policy had been effectively implemented, the overall business operation process was relatively standardized, and the management system was operating effectively. At the same time, for the problems found in the audit and the future improvement direction, valuable suggestions were put forward that there was still room for improvement in management details and sustainable strengthening of dynamic management.
General Manager Bo pointed out that the positive affirmation and questions raised by the expert group for our company were in line with the company's reality. The problems found in the audit were representative and universal, and had strong guiding significance. First, the system construction work was comprehensively promoted, and the responsibility was shouldered and assigned to people. The company gathered forces from top to bottom to jointly improve the company's management system construction; second, the system construction work was systematically promoted, and systematic planning was insisted on using a development perspective. A long-term mechanism for system management work was established to achieve continuous improvement of the company's management level; third, the system construction work was orderly promoted, and strict organization and precise implementation were achieved. Strengthen the pertinence, innovation and scientificity of management, continuously improve the company's management system, and promote the company's development into a "quality-oriented" enterprise.
The successful completion of this external audit is a comprehensive review and affirmation of our company's system management work.
